# CrewPortGlobal — Seafarer Candidate Agreement

This Seafarer Candidate Agreement defines the terms under which a seafarer, maritime professional or prospective candidate may create and maintain a profile on CrewPortGlobal, upload professional documents, participate in document readiness workflows and be considered for matching with crew requests submitted by shipowners, vessel operators, ship managers or authorized maritime employers.

CrewPortGlobal is developed and operated by GTC INFORMATION TECHNOLOGY FZ-LLC as a digital maritime crew data, documentation and matching platform.

At Stage 1, CrewPortGlobal provides digital profile management, document collection, document readiness support, AI-assisted data structuring and candidate matching workflows. CrewPortGlobal does not represent itself as a licensed manning agency, employment agency or seafarer recruitment agency unless and until required approvals are confirmed by competent authorities or relevant services are provided through licensed partners.

## Core no-fee statement

CrewPortGlobal does not charge seafarers recruitment, placement or employment fees.

You do not have to pay CrewPortGlobal to be considered for crew opportunities through the platform.

You do not have to purchase optional services from CrewPortGlobal in order to create a profile, be visible in the matching pool or be considered for a relevant crew request.

Any optional paid services offered to seafarers must be clearly separated from recruitment or placement and must not be a condition for access to employment opportunities.

If anyone asks you to pay a recruitment, placement or employment fee in connection with CrewPortGlobal, you should report it immediately through the Complaint Handling Procedure.

## Parties

This Agreement is entered into between:

**Service Provider:**  
GTC INFORMATION TECHNOLOGY FZ-LLC  
Ras Al Khaimah Economic Zone, United Arab Emirates  
Operating the platform under the commercial name CrewPortGlobal.

and

**Candidate:**  
A seafarer, maritime professional or person creating a professional maritime profile on CrewPortGlobal.com.

The Service Provider and the Candidate may be referred to individually as a Party and together as the Parties.

## Definitions

For the purpose of this Agreement:

**Platform** means CrewPortGlobal.com and related systems, databases, forms, chat interfaces, workflows, APIs, documents and services operated by GTC INFORMATION TECHNOLOGY FZ-LLC.

**Candidate** means a seafarer, maritime professional or prospective maritime worker who creates a profile or submits documents through the Platform.

**Seafarer Profile** means the digital professional profile created for a Candidate, including personal details, professional experience, certificates, availability, documents and other submitted information.

**Crew Request** means a request submitted by a shipowner, vessel operator, ship manager, crew manager or maritime employer for one or more crew positions.

**Matching** means the process of comparing Candidate data with Crew Request requirements.

**Shortlist** means a list of Candidates identified as potentially relevant to a Crew Request.

**GTC_USER_ID** means the internal user identifier assigned by the GTC system to a registered person or entity.

**Document Readiness** means the platform status indicating whether documents have been uploaded, reviewed, are complete, expired, missing or require clarification.

**Optional Seafarer Services** means paid services offered to Candidates that are not recruitment, placement or employment services and are not required for job access.

**Recruitment Fee** means any fee, charge or deduction imposed on a seafarer as a condition for access to employment, placement or recruitment.

## Platform role

CrewPortGlobal helps Candidates organize professional maritime information and participate in structured crew matching workflows.

The Platform may:

1. Create a Candidate profile.
2. Assign or connect a GTC_USER_ID.
3. Collect professional and identity information.
4. Collect maritime certificates and documents.
5. Help structure work experience by rank, vessel type and contract history.
6. Support document readiness review.
7. Compare Candidate data with Crew Requests.
8. Prepare Candidate summaries.
9. Allow human-reviewed submission to shipowners or maritime employers.
10. Store workflow history and compliance records.
11. Provide communication and support functions.

Unless expressly stated otherwise, CrewPortGlobal does not employ the Candidate and does not guarantee employment, contracts, salary, joining date, visa, flag-state acceptance, medical approval, travel approval or final selection by any shipowner or employer.

## Candidate eligibility

By using the Platform, the Candidate confirms that:

1. The Candidate is legally able to provide the information submitted.
2. The Candidate has authority to upload the documents submitted.
3. The Candidate will provide accurate, current and truthful information.
4. The Candidate will not submit forged, altered, stolen or misleading documents.
5. The Candidate will update the Platform if important information changes.
6. The Candidate will not use the Platform for fraud, misrepresentation or unlawful purposes.

CrewPortGlobal may suspend or reject a profile if there is evidence of false information, fraudulent documents, unlawful use, identity misuse or serious compliance risk.

## Profile creation

The Candidate may be asked to provide information including:

1. Full name.
2. Date of birth.
3. Nationality.
4. Contact information.
5. Current location.
6. Preferred contact channel.
7. Rank or position.
8. Department.
9. Vessel type experience.
10. Contract history.
11. Availability date.
12. Salary expectations.
13. Language skills.
14. Emergency readiness.
15. Professional references.
16. Uploaded documents.
17. Consent and acknowledgements.

The Platform may collect information through web forms, chat dialogue, document upload, onboarding questionnaires or support communication.

## Documents and certificates

The Candidate may upload documents such as:

1. Passport.
2. Seaman book.
3. Medical certificate.
4. STCW certificates.
5. Certificate of Competency.
6. Endorsements.
7. Tanker certificates.
8. LNG / LPG certificates.
9. Chemical tanker certificates.
10. Passenger vessel certificates.
11. Offshore certificates, if applicable.
12. Vaccination records where required.
13. Previous contracts or sea service records.
14. References.
15. Other maritime professional documents.

The Candidate is responsible for ensuring that uploaded documents are valid, accurate and legally obtained.

## Document readiness status

CrewPortGlobal may apply status labels to uploaded documents, including:

1. Uploaded.
2. Pending review.
3. Verified.
4. Expired.
5. Rejected.
6. Needs clarification.
7. Externally verified.
8. Partner verified.

A document readiness status helps organize the Candidate profile and support matching workflows.

Unless expressly stated, a status does not guarantee that an issuing authority, flag state, port authority, insurer, class society or employer will accept the document.

## Candidate obligations

The Candidate agrees to:

1. Provide truthful information.
2. Keep profile data updated.
3. Upload only genuine documents.
4. Not impersonate another person.
5. Not submit documents belonging to another person.
6. Respond to reasonable requests for clarification.
7. Respect other Platform users.
8. Not attempt unauthorized access to Platform systems.
9. Not use the Platform for fraudulent or unlawful purposes.
10. Report suspected fake jobs, prohibited fees or misuse of documents.

## No guarantee of employment

Creating a profile on CrewPortGlobal does not guarantee:

1. Employment.
2. Contract offer.
3. Shortlisting.
4. Interview.
5. Salary level.
6. Visa approval.
7. Joining approval.
8. Flag-state approval.
9. Acceptance by any shipowner, operator, manager or employer.

CrewPortGlobal supports structured profile management and matching workflows, but final employment decisions are made by shipowners, employers, vessel operators, ship managers or authorized hiring parties.

## Matching and shortlisting

CrewPortGlobal may use structured data, human review and AI-assisted tools to compare Candidate profiles with Crew Requests.

Matching may consider:

1. Rank.
2. Department.
3. Certificates.
4. Endorsements.
5. Vessel type experience.
6. Contract history.
7. Availability.
8. Location.
9. Language skills.
10. Salary expectations.
11. Medical or document validity indicators.
12. Client-specific requirements.
13. Compliance and risk flags.

The Candidate understands that matching is a support process and does not create a right to employment or contract.

## Sharing Candidate profile with shipowners

CrewPortGlobal may share relevant Candidate information with shipowners, vessel operators, ship managers, crew managers or authorized maritime employers for crew matching and assessment purposes.

Where possible, the Candidate should be informed when a profile is being considered or submitted for a specific opportunity.

The shared information may include:

1. Name.
2. Rank.
3. Nationality.
4. Professional experience.
5. Availability.
6. Certificates and document readiness status.
7. Contact information where appropriate.
8. Candidate summary.
9. Uploaded documents where necessary and permitted.

CrewPortGlobal should not share Candidate data for unrelated marketing or non-maritime purposes without appropriate consent or lawful basis.

## Privacy and data protection

The Candidate acknowledges that the Platform processes personal data, professional data and uploaded documents.

Processing may include:

1. Registration.
2. Identity management.
3. GTC_USER_ID assignment.
4. Profile creation.
5. Document storage.
6. Document readiness review.
7. Matching with Crew Requests.
8. Communication with shipowners or partners.
9. Complaint handling.
10. Payment processing for optional services, if any.
11. Security, audit and compliance records.

Further details are provided in the CrewPortGlobal Privacy Policy.

The Candidate may request correction, update or deletion of data, subject to legal, contractual, compliance and legitimate retention requirements.

## Optional paid services

CrewPortGlobal may offer optional services to Candidates under a transparent price list.

Examples may include:

1. CV preparation.
2. Maritime profile improvement support.
3. Document translation.
4. Certificate expiry reminders.
5. Secure document vault features.
6. Interview preparation.
7. Training information or referrals.
8. Travel support information.

These services are optional.

They are not recruitment, placement or employment fees.

They are not required for job access.

They do not guarantee employment or selection.

The Candidate must not purchase any optional service if anyone presents it as a mandatory condition for employment through CrewPortGlobal.

## Prohibited fees and reporting

CrewPortGlobal prohibits recruitment, placement or employment fees charged to Candidates.

The Candidate should report any request for payment that appears to be connected with access to a job, contract, shortlist or employment opportunity.

Examples of prohibited conduct may include:

1. “Pay to be shortlisted.”
2. “Pay to get a job.”
3. “Pay to receive a contract.”
4. “Pay to be introduced to a shipowner.”
5. “Pay from your first salary.”
6. “Pay an agent fee to join the vessel.”
7. “Buy this service or you will not be considered.”

Complaints may be submitted through the CrewPortGlobal Complaint Handling Procedure.

## Communication with shipowners and partners

The Candidate may communicate with shipowners, operators, managers, partners or CrewPortGlobal team members through approved Platform channels or external channels where authorized.

The Candidate should be cautious of:

1. Unverified job offers.
2. Requests to send money.
3. Requests to surrender original documents.
4. Unofficial email domains.
5. Pressure to act immediately.
6. Requests to bypass the Platform for suspicious reasons.
7. Contract terms that differ from those presented earlier.

Suspicious communications should be reported.

## Candidate account suspension

CrewPortGlobal may suspend, restrict or deactivate a Candidate profile if:

1. False information is submitted.
2. Fraudulent documents are uploaded.
3. The Candidate impersonates another person.
4. The Candidate misuses Platform systems.
5. The Candidate harasses or threatens other users.
6. The Candidate attempts unauthorized access.
7. The Candidate participates in fraud or unlawful activity.
8. Legal or compliance risk requires suspension.
9. The Candidate requests deactivation.

Where appropriate, CrewPortGlobal may allow the Candidate to provide clarification before final action is taken.

## Candidate profile deactivation

The Candidate may request profile deactivation.

Upon deactivation:

1. The profile may no longer be visible for new matching workflows.
2. Certain data may be retained for legal, security, audit, complaint or compliance reasons.
3. Uploaded documents may be deleted or restricted according to the Data Retention and Deletion Policy.
4. Active complaints, disputes or legal holds may delay deletion.

## AI-assisted processing

CrewPortGlobal may use AI tools to:

1. Ask onboarding questions.
2. Structure Candidate data.
3. Summarize experience.
4. Identify missing documents.
5. Compare Candidate information with Crew Request requirements.
6. Prepare draft profile summaries.
7. Support support-team review.

AI output may contain errors.

The Candidate may request correction of inaccurate profile summaries or data.

Serious decisions, including complaint decisions, fraud flags, document rejection and Candidate submission for final review, should involve human review.

## Human review

CrewPortGlobal may apply human review before:

1. Presenting a Candidate to a shipowner.
2. Marking documents as verified.
3. Rejecting important documents.
4. Applying serious compliance flags.
5. Suspending an account.
6. Resolving serious complaints.
7. Handling prohibited fee reports.

Human review is a core part of the CrewPortGlobal compliance-first model.

## Candidate responsibility for final decisions

The Candidate is responsible for reviewing any proposed employment terms before accepting a contract.

The Candidate should check:

1. Employer identity.
2. Vessel identity.
3. Contract duration.
4. Salary.
5. Rank and duties.
6. Joining port.
7. Travel arrangements.
8. Insurance and welfare arrangements.
9. Repatriation terms.
10. Applicable collective agreement, if any.
11. Any deductions or charges.
12. Whether the contract matches the information provided during the matching process.

CrewPortGlobal may support document and workflow organization, but the Candidate must make an informed decision before accepting employment.

## Complaints

The Candidate may submit a complaint if there is concern about:

1. Prohibited recruitment fees.
2. Fake jobs.
3. Misleading employer information.
4. Misuse of documents.
5. Incorrect document status.
6. Privacy concerns.
7. Discrimination.
8. Partner misconduct.
9. Technical errors.
10. AI-generated inaccuracies.

Complaints are handled under the CrewPortGlobal Complaint Handling Procedure.

Until dedicated addresses are activated, a temporary contact may be used.

## Security

The Candidate must protect account credentials and must notify CrewPortGlobal if account misuse is suspected.

CrewPortGlobal may use reasonable security measures, including authentication, access controls, logging, encryption where appropriate and restricted internal access to sensitive documents.

No system can be guaranteed completely secure. The Candidate should avoid sending unnecessary sensitive information through unapproved channels.

## Acceptable use

The Candidate must not:

1. Upload malware or harmful files.
2. Attempt to access another user’s account.
3. Scrape or copy Platform data unlawfully.
4. Harass, threaten or abuse other users.
5. Submit false complaints knowingly.
6. Use the Platform for illegal recruitment schemes.
7. Sell access to the Platform.
8. Misrepresent qualifications or identity.
9. Interfere with Platform operations.
10. Circumvent security controls.

## Limitation of liability

To the maximum extent permitted by applicable law, CrewPortGlobal is not liable for:

1. Final employment decisions made by shipowners or employers.
2. Candidate non-selection.
3. Employer withdrawal of a vacancy or offer.
4. Visa, port, flag-state or travel refusal.
5. Incorrect information submitted by the Candidate.
6. Fraudulent conduct by third parties not controlled by CrewPortGlobal.
7. Loss resulting from Candidate acceptance of unverified external offers.
8. Indirect, incidental or consequential loss.
9. Outcomes of employment contracts to which CrewPortGlobal is not a party.

This section must be reviewed by legal counsel before final publication.

## Changes to this Agreement

CrewPortGlobal may update this Agreement as the Platform develops, legal requirements change or new services are added.

Material changes should be communicated through the Platform, website, email or account notice.

Continued use of the Platform after the effective date of updated terms may constitute acceptance of the updated Agreement, unless applicable law requires a different process.

## Governing law and dispute resolution

The governing law and dispute resolution forum should be confirmed during legal review.

Recommended working position for review:

1. This Agreement is governed by the laws applicable to GTC INFORMATION TECHNOLOGY FZ-LLC in Ras Al Khaimah, United Arab Emirates, unless otherwise agreed.
2. The Parties should attempt good-faith resolution before formal proceedings.
3. Disputes may be referred to the competent courts or another forum agreed in the final legal version.

This section must be reviewed by legal counsel before publication as final.

## Candidate acknowledgements for onboarding

During registration, the Candidate should confirm:

- I understand that CrewPortGlobal does not charge seafarers recruitment, placement or employment fees.
- I understand that optional paid services are not required for job access.
- I understand that creating a profile does not guarantee employment.
- I confirm that the information and documents I submit are accurate and belong to me.
- I agree that my professional profile may be processed for crew matching purposes.
- I agree to the Privacy Policy.
- I agree to the Complaint Handling Procedure.
- I agree to this Seafarer Candidate Agreement.
